Uploading Your Full Academic Year File

Full Academic Year (FAY) decides which students count toward a result. Your state produces the determination, and this upload is how you give it to TKG Analytics.

Not yet applied to your results

This upload populates the FAY Assignments page and your students' profiles. It does not yet change an Impact, a projection or the Score Tracker's FAY filters, which still read every student as full academic year. Connecting the determinations to scores is the next piece of work.

See Full Academic Year for what FAY means and where it shows up once it is uploaded.

The File

Upload the FAY export MSIS produced for your district. It holds one row per student and names, for each enrollment window, whether the student met FAY at the district (LEA) and at the school level, along with the days and the percent enrolled behind each answer.

  • Accepted File Types: .xlsx and .csv
  • Maximum File Size: 25 MB
  • File Name: anything. We read the columns, not the name, so you can upload the file exactly as you downloaded it.

The columns we require are the MSIS ID column and the six Met columns:

Window Columns we read
Traditional Traditional FAY LEA Met, Traditional FAY School Met
Fall Fall FAY LEA Met, Fall FAY School Met
Spring Spring FAY LEA Met, Spring FAY School Met

We also store the days enrolled and the percent enrolled beside each answer, so your FAY Assignments page can show why a student was not counted.

The old FAY files are not this file

fay_students.csv and fay_4x4_students.csv were built by districts and are no longer read, through this uploader or your nightly sync. Send your state's own export instead.

Uploading

  1. Click the File Upload icon in the navbar.
  2. Select Full Academic Year from the dropdown menu.
  3. Choose the school year. Only the year you are currently in is offered, because the determinations apply to your students now.
  4. Add your file and finish the upload.

The import runs as soon as the file is stored, and we email you when it finishes with how many determinations were stored and how many rows were left out.

Replacing a File

Upload the corrected export the same way. A year holds one FAY file, so a second upload for the same year replaces the first, and your determinations become whatever the newer file says.

What Happens to Rows We Cannot Use

  • A row listed under another district is left out and counted. If every row is left out, the import reports as failed, which usually means the export is for a different district.
  • A row naming a student we do not hold is left out and counted separately. This usually means your roster is behind what the state holds, and your nightly SIS files will catch it up.
  • A row repeating a student the file already named is left out and counted separately. The first row for that student is the one we keep.

All three counts are in the email you get when the import finishes, and the rows themselves are attached to it as a CSV, in your file's own columns plus the reason each was left out, so you can work them against your roster.

Common Reasons an Upload Is Refused

  • The file is not the state's export. We name the columns we could not find. Check you picked the FAY export rather than another file.
  • The file is empty, holds no student rows, or its first row is data rather than headers.
  • Your district's calendar has not been advanced. The only year this uploader offers is the year your district is in, so the rollover has to be finished first.
  • Your rollover is still in flight. Finish it, then upload.
  • Your roster is still last year's. Publish this school year's master schedule in your SIS, then upload.
