Rollover Emails

Throughout the school year rollover, TKG Analytics sends a few emails to let you know what has happened and when to act. This page shows each one you can expect, when it arrives, and what to do. An example is shown below each (using a sample district name).

Rollover email goes to your named contacts, not to every district admin

Unlike onboarding, rollover email is addressed only to your district's point of contact and superintendent. If you are a district admin and you are not one of those two, you will not receive any of these, and you are not waiting on mail that is coming. Our team is copied on everything below.

One email goes to our team, not to you

When a rollover is submitted, our team receives a notice so a reviewer knows it is waiting. You will not get a "submitted" email, so do not wait for one. The email that tells you the outcome is either Rollover complete or Sent back for changes below.

The wizard steps themselves are silent

Working through the steps sends nothing, however consequential the change. Confirming your contacts, advancing the calendar, and deactivating a user all happen without an email. Everything you will receive is on this page, and it is tied to where the rollover as a whole has got to, not to individual steps.


Your rollover has started

  • When: as soon as our team opens your rollover.
  • What to do: click through and begin the wizard.

Your school year rollover has started for Example Public School District.

The rollover is how TKG Analytics moves your district into the new school year. You will confirm your named contacts, advance your calendar, re-confirm your configuration and schools, and review who still has access. Work through it at the following link:

When you have finished, submit the rollover for review. Our team then makes the new year live, or sends it back to you for changes.


Reminder: your rollover is still open

  • When: weekly, while your rollover is unsubmitted. This includes a rollover that was sent back to you and then left alone.
  • What to do: finish it and submit it.

Your school year rollover for Example Public School District is still open.

It is not with our team for review. Until you submit it, your district stays on the old school year and the nightly data sync stays paused, so finishing it is what moves you into the new year.

You can pick up wherever you left off; nothing you have already confirmed is lost.


Sent back for changes

  • When: when our team reviews your submitted rollover and returns it to you instead of approving it.
  • What to do: make the changes and resubmit. See After You Submit.

Your school year rollover for Example Public School District has been sent back for changes.

Our team reviewed it and returned it to you rather than making the new year live. Every step is open for editing again, and the rollover comes back to us for review when you resubmit it.

The most common reason a rollover is sent back is the calendar: if it still shows the old school year, it was not advanced. Check the Advance Calendar step first, then work back through anything else that needs correcting.

This notice does not list the specific changes. Our admin team will follow up with you through a helpdesk ticket with the specific questions and next steps, so you do not need to guess at what we are asking for.

Do not resubmit unchanged

Because this email carries no specifics, wait for our follow-up ticket, or open a Helpdesk Ticket yourself. Resubmitting without changing anything costs both sides another review round.


Rollover complete

  • When: after our team approves your rollover.
  • What to do: nothing is required. Your district is on the new year.

Subject: Rollover complete for Example Public School District

Your school year rollover is complete for Example Public School District.

Our team has reviewed and approved it, and Example Public School District is now operating on the 2026 - 2027 school year. The calendar, configuration, schools, and roster you confirmed are live, and normal operation resumes.

Nothing further is required from you. If your district's nightly data sync was paused during the rollover, it resumes on the schedule you chose on the final step.


Expected an email and did not get one?

First check whether you are one of your district's two named contacts, since that is who these go to. If you are, and something still looks wrong, open a Helpdesk Ticket and we will help.
