Onboarding Emails
Throughout onboarding, TKG Analytics sends you a few emails to let you know what is happening and when to act. This page shows each email you can expect, when it arrives, and what to do. An example is shown below each one (using a sample district name).
Some status emails go to our team, not you
Behind the scenes, when your data import starts, finishes, or fails, our team receives a notification. You will not get an "import started" or "import completed" email, so do not wait for one. The email that tells you to act after the import is the Verify your data email below.
Welcome
- When: right after we open your onboarding.
- What to do: click the link and begin the onboarding wizard.

Onboarding reminder
- When: periodically, if your onboarding is still in progress and not yet submitted.
- What to do: finish and submit your onboarding wizard.

Your onboarding is still in progress! We are excited to partner with you and can't wait to get your district up and running. Before we can do this, we need you to complete the onboarding process at the following link:

Verify your data
- When: after your data import finishes and our team has reviewed it, when your access is restored.
- What to do: review your imported data and confirm it looks correct. This is the email that tells you it is time to check your data.

The onboarding process is almost complete! Before we open access to your entire district, we would like you to verify that the data on the platform is correct. Please verify the data by clicking the link below. If you'd like, we can set up a Zoom to review the data together.

Only the district admins listed have access to the site for now. The email links to sign-in instructions and a summary of what to expect next. If everything looks right to you, we can move forward with completing the setup.
Onboarding complete
- When: after you confirm your data is correct and we finish your setup.
- What to do: nothing required to get started. Your district's staff now have access. Read the two orientation sections in this email: who has access and how to change it, and how your data stays current from here. If your district uses custom or K–1 cut scores, follow the included link to review them.

The onboarding process is complete! Your district's employees now have access to the TKG Analytics platform.

First time signing in? The email links to sign-in instructions for your staff.
(If your district uses custom benchmark ranges, this email also includes a link with instructions for reviewing and adjusting your cut scores.)
Who has access. Your logins came from two places during onboarding: the Teachers file (
teachers.csv) uploaded with your SIS exports, and the District Admins named in the wizard. District and school users are not part of onboarding and are added afterward, by invitation or by uploadingdistrict_users.csvandschool_users.csv. The email summarizes what each role sees (District Admin, District User, School User, Teacher User) and links the Users overview.Changing who has access. A District Admin invites district, school, and district admin users from the user list and deactivates people from their edit page; teacher logins come only from your SIS export. The email links District & School Users, Teacher Users, and Inviting Users.
Keeping your data current. What this section says depends on whether automatic updates are turned on for your district (see below). Either way it links SIS Files and SIS Data Upload.
The email closes with a link to the full documentation and to submit a support ticket.

Two versions of "Keeping your data current"
The data section is written for your district's actual setup, so you may see either of these:

| Has automatic updates turned on | Your data refreshes overnight, pulling schools, teachers, students, enrollments, schedules, and user rosters from the export your district sends. Keeping that export current is all that is needed on your end. If something looks stale, the SIS Files view shows when each file last arrived. |
| Does not yet have them turned on | Automatic overnight updates are not turned on for your district yet, so your data does not refresh on its own; what loaded during onboarding is what you have unless our team runs an import for you. Open a Helpdesk Ticket when you are ready to turn them on. |

Reminder: review your custom cut scores
- When: after onboarding, only if your district uses custom or K–1 cut scores and has not yet edited them.
- What to do: review your custom cut scores and adjust them from the defaults to your district's actual values.

We noticed that you have custom cut scores defined for your district, but you have not yet edited any of the benchmark ranges. Please review the custom cut scores and make any necessary adjustments.
