Review School Users
This is the seventh step of the school year rollover. Here you check your school users, each of whom sees only the schools assigned to them. In most districts this is the longest step, because principals and school-level staff make up the bulk of the roster.
What this step asks for
The step lists your active school users with the schools each one can see. For each, you can:
- Deactivate them, if they have left the district.
- Upgrade to District User, if they should see the whole district.
- Change schools, ticking the schools that person should see. At least one is required.
- Grant or remove add-ons (Uploader, Maintenance).
Anyone you take no action on stays as they are. The list is paginated, so work through every page rather than only the first.
Multi-school users are listed first
Anyone assigned to more than one school is flagged and sorted to the top of the list.
That ordering is not cosmetic. The nightly SIS sync never reconciles a multi-school grant, so those assignments are the ones that quietly go stale year after year while everything else is kept current automatically. They are the entries most worth your attention on this step.
Editing a user here takes them off the nightly sync
Changing someone's schools or upgrading them to a District User marks that person as hand-managed so your change sticks. The nightly SIS sync stops reconciling their access from then on. Add-on changes do not have this effect.
Removing every school
A school user must keep at least one school. Unticking all of them is a removal of access, not a trim, so the step refuses it and points you at Deactivate instead. That is deliberate: the two mean different things, and the second is the one that records the person as gone.
Not sure something is right?
If a principal is attached to a school they no longer lead, change their schools rather than deactivating them. If you are unsure, open a Helpdesk Ticket.
