Submitting Scores for Processing

Audience: District Admins and anyone holding the Uploader add-on. These are the same people who can upload score files.

Uploading your score files does not finish the job. TKG Analytics reads the files as they arrive, but nothing is calculated from them until you say you have sent everything for that assessment. Submit for Processing is how you say it.


What Happens When You Submit

Submitting runs everything your scores need, in order, for the one assessment you submitted:

  1. User access is paused for District Users, School Users and Teacher Users
  2. Your score files are read again, so nothing uploaded late is missed
  3. Score letters are rebuilt
  4. Third grade pass rates are rebuilt
  5. Your accountability projections are built
  6. Your projections by grade are built
  7. Item analyses are read, for a benchmark at a Mastery Connect district

Your assessment's own page names each of those steps as the run reaches it, so you can watch it move without waiting for the email, with a line underneath saying what it read: how many scores were imported, how many accountability projections were built, and how many item analysis files were read.

The email names any item analysis file we read and found nothing in, so you can see which ones held no data without opening the page.

A step can also come back amber, which means it ran without failing and still left you short: it found nothing to import, or some of the files uploaded for it were never read. Item analyses are the usual one, and the likeliest cause by a distance is the teacher's name as your assessment vendor spells it not matching the name your SIS carries: see how your assessment files have to be named. The email names the files, the file list on that run shows them too, and a Helpdesk Ticket is the next step if the names look right to you.

When every step has finished, the people who uploaded the files, your district's point of contact and your superintendent get an email saying the scores are ready for review. It lists every file the run read and what each one contributed, and carries any rows that were not imported as an attached spreadsheet, in the same form as the import status email. The read your submission does sends no email of its own, so this is the one email for the submission.

If a step cannot finish, the rest do not run and you are emailed to say so. Nothing is half-built: run it again once the problem is sorted, or open a Helpdesk Ticket if you are not sure what went wrong.


Access Is Paused, and You Reopen It

While processing runs, and after it finishes, your District Users, School Users and Teacher Users are held out of TKG Analytics. Processing never reopens access. That is deliberate, and it is yours to control.

It gives your team the first look. Check the numbers while only District Admins can log in, then reopen access in whatever order suits you: district staff first, then principals, then teachers, or everyone at once. The steps are on the User Access page.

District Admins are never locked out, so you can always get in to review and to reopen.


The Three Places to Submit

All three do exactly the same thing. Use whichever suits how you work.

In the File Uploader, once you have chosen your assessment and added your files, tick This is everything for this assessment, submit it for processing above the Finish button. One click uploads and submits.

If you send files over several days, leave the checkbox alone each time. When the last file is in, go to Assessment Definitions and click Submit for Processing on the row for that assessment. You do not have to open the File Uploader at all.

Opening an assessment from that same page gives you the button again, beside PDF, along with everything the last run did. Uploading files for an assessment leaves you here, so this is the button in front of you when you have just finished sending them.

Nothing to submit

The button only appears for an assessment that already has uploaded files. An assessment with none is not offered, because there is nothing to process.

What cannot be submitted

An assessment from a school year that has finished cannot be submitted, and neither can the state assessment. Re-processing a finished year would rebuild it under this year's setup, so if you need one rebuilt, open a Helpdesk Ticket and we will do it with you.


You Can Submit the Same Assessment Again

Each submission processes whatever is stored at that moment, so submitting again is a rebuild, not a duplicate.

This matters most for a district on a 4x4 schedule, where the students in a semester course test early and the rest test later on the same assessment. Submit after the first group, submit again after the second, and the second run rebuilds with everyone in it.

If you submit while a run is already going, TKG Analytics turns it down and tells you the assessment is already being processed. Wait for the email, then submit again if you need to.

A submission does not always begin the moment you make it, and the assessment's page says why rather than leaving you guessing. Only one import of your district runs at a time, so a submission made while another is still going reads Waiting until that one finishes. Uploading a zip and submitting in the same go reads Waiting too, until the zip has finished unpacking. Neither needs anything from you: both start on their own, and the email arrives when they are done.


Midterms Work the Same Way

A midterm is submitted exactly as a benchmark is, from the same three places, with one thing to do first: your Midterm Ranges have to be set up before midterm files can be uploaded at all, and a midterm cannot be submitted for processing without them either. If your ranges have been removed since you uploaded, submitting tells you so and nothing is paused.
