Inactive Schools

A school in TKG Analytics is either active or inactive. Active schools are the ones you see everywhere by default. An inactive school is still in your district's data with all of its history intact, but it is filtered out of the Schools list until you ask for it.

This page covers what makes a school inactive, how to find one, and who can.


What Makes a School Inactive

A school goes inactive by dropping out of your schools.csv file.

Every nightly sync marks every school in your district inactive, then reactivates each one it finds a row for. A school that has a row is active. A school with no row is left inactive. Nobody clicks anything to close a school, and no one has to remember to: removing the row is the whole action.

That also means the reverse is true. Put the row back in schools.csv and the next sync makes the school active again.

A sync that finds no schools.csv at all does nothing rather than deactivating everything. A missing file leaves every school exactly as it was, so a failed upload cannot close your whole district overnight.

You cannot change this in the app. The Active? checkbox on a school's edit page shows you the current state but cannot be edited. schools.csv is the only thing that sets it. A row that is present but incomplete counts as absent for this purpose. schools.csv skips any row missing sis_id, name, low_grade, or high_grade, so a school whose row lost a column is left inactive exactly as though the row had been deleted.

The most common reason a school shows up as inactive is that the district closed or consolidated it and the SIS stopped listing it. Occasionally it is a mistake in the file instead, so if a school you still operate has gone inactive, check schools.csv for the row and for a missing value in it before anything else.


What an Inactive School Keeps

Going inactive hides a school from the default list. It does not remove anything.

  • Scores, impacts, enrollments, and report cards all stay attached to the school.
  • Its pages still work. Data Tracker, Impact Data, and Historical Performance open the same way they do for an active school.
  • Access still works. A user who has been given the school keeps it, and can still open it.

This matters at the end of a school year. A school you closed in June is still the school those scores belong to, and its accountability history stays where it is.


Finding an Inactive School

The Schools page lists active schools. To see the inactive ones, click the Inactive Schools button above the list. The heading changes to Inactive Schools Overview, and the button becomes Active Schools to switch back.

The button only appears when you actually have an inactive school to look at. If every school you can see is active, there is no button, and that is the expected state for most districts most of the time. If you were told to use the button and cannot find it, it means nothing in your list is inactive.

The list the button checks is the list you are allowed to see, so two people can see the page differently. District Admins and District Users see every school in the district, so for them the button appears as soon as any school in the district is inactive. A School User only sees the schools they are assigned, so for them it appears only when one of those has closed: a School User assigned to two schools, one of them closed, sees the button, while a colleague assigned to two open schools does not.


The (inactive) Label

Where TKG Analytics offers inactive schools for selection, they are labeled:

You will see this on the School Access multi-select when a District Admin edits a user, and on the school picker when they invite one. Granting a closed school is allowed, and sometimes correct, so the label is there to make it a decision rather than an accident. Inactive teachers are marked the same way.

The rollover wizard's school pickers list them the same way, so a closed school can be granted, kept, or removed there deliberately.


When You Never See the List at All

If your access covers exactly one school, TKG Analytics skips the list and takes you straight to that school. This happens whether the school is active or inactive, so a School User assigned only to a closed school lands on it directly and never needs the toggle.

A user assigned to two or more schools gets the list, and the toggle, as described above.


Who Can Use the Toggle

The Inactive Schools button is available to:

  • District Admins and District Users
  • School Users, for the schools they are assigned
