Editing Users
Audience: District Admins changing an existing user's scope, add-ons, or status.
Editing a user in TKG Analytics happens in a few different places depending on what you are changing, and some of what shows on a user's edit form comes from your SIS and cannot be changed in the app. This page is the map. For the big picture of roles and how users get access, start with the Users overview.
In-app versus from the SIS
Before you edit, know where a field's value comes from:
- Editable in the app. A user's role, their custom scope (extra schools or teachers), their Uploader or Maintenance add-ons, and their active status. A District Admin changes these from the user's edit page. What you set here is kept across nightly syncs, as described in Custom User Settings.
- Comes from your SIS. The core roster fields (name, email), a Teacher User's Teacher Record, and a Teacher User's role and school access are imported nightly. They appear on the edit form for reference but are managed by re-importing your SIS files, not by editing in the app. A role or school change made on a teacher's edit page is replaced by the next import. See SIS Data Format.
Imports can remove access. If a user is dropped entirely from the next CSV for their role, their access is removed at the nightly sync. Add-ons and additional teacher access do not protect against this. Changing a user's role or their school access does take them off nightly management, which also stops automatic deprovisioning for them, so use Deactivate to remove their access. Changing a user's role
A user's primary role - District, School, Teacher, or District Admin - is set when they are invited or imported, not toggled on the edit form. To move someone between roles, use the page for the role you want: promote to District Admin from District Admin Users; district and school scope from District & School Users; teacher access from Custom User Settings.
The named contacts are protected
Your district's SPOC (point of contact) and Superintendent cannot be demoted or deactivated from the member page; those controls are replaced by a badge naming the role. To hand either one to a different person, the point of contact or superintendent uses the Update button next to that role on the district dashboard (the new holder must be an active District Admin). Aside from reassigning your named contacts, there is no self-serve admin area for districts. Anything else you cannot change from a user's edit page is done by opening a Helpdesk Ticket.
