Inactive Teachers

A teacher in TKG Analytics is either active or inactive. Active teachers are the ones you see everywhere by default. An inactive teacher is still in your district's data with all of their history intact, but they are filtered out of the Teachers list until you ask for them.

This page covers what makes a teacher inactive, how to find one, and who can.

What Makes a Teacher Inactive

A teacher goes inactive by dropping out of your teachers.csv file.

Every nightly sync marks every teacher in your district inactive, then reactivates each one it finds a row for. A teacher with a row is active. A teacher with no row is left inactive. This is the same pattern schools follow, and it is why a teacher who leaves the district goes inactive on their own the night after your SIS stops listing them.

Put the row back in teachers.csv and the next sync makes the teacher active again.

A sync that finds no teachers.csv at all does nothing rather than deactivating everyone. A missing file leaves every teacher exactly as they were.

You cannot change this in the app. The Active? checkbox on a teacher's edit page shows you the current state but cannot be edited. teachers.csv is the only thing that sets it. See SIS Data Format for the file's columns and SIS Data Upload for how to send a corrected file without waiting for the nightly sync.

A row that is present but incomplete counts as absent for this purpose. teachers.csv skips any row missing teacher_id, school_id, first_name, or last_name, so a teacher whose row lost a column is left inactive exactly as though the row had been deleted. If a teacher who is still on staff has gone inactive, check their row for a missing value before anything else. Teacher Users covers what that does to their login as well.

What an Inactive Teacher Keeps

Going inactive hides a teacher from the default list. It does not remove anything.

  • Scores, enrollments, impacts, and grade history all stay attached to the teacher.
  • Their pages still work. Data Tracker, Impact Data, and Historical Performance open the same way they do for an active teacher.
  • Access still works. A user who has been given that teacher keeps them, and can still open their pages.

A teacher who left in May is still the teacher last year's scores were attributed to, and that attribution does not move.

Finding an Inactive Teacher

The Teachers page lists active teachers. To see the inactive ones, click the blue Teacher Actions button and choose Inactive Teachers. The menu entry becomes Active Teachers to switch back.

While you are viewing inactive teachers, the rest of the Teacher Actions menu is hidden. Teachers with Scores, Mismatched Teachers, Custom Teachers, and Course Summaries are all filters on your active roster, so they come back as soon as you switch to Active Teachers.

The (inactive) Label

Where TKG Analytics offers inactive teachers for selection, they are labeled. They appear as their name, their school, and then (inactive):

How a teacher appears in a picker What it means
Marcus Webb - Riverbend Elementary Active teacher
Dana Ellison - Oak Valley Middle (inactive) Inactive teacher

You will see this on the Additional Teacher Access multi-select when a District Admin edits a user. The label is there so granting a former teacher's records is deliberate rather than accidental. Inactive schools are marked the same way, so both pickers read alike.

The rollover wizard's Review Teacher Users step offers and marks them the same way, so you can tell which stale grants point at someone who has left.

Pickers elsewhere in TKG Analytics may leave inactive teachers out altogether rather than listing them. The SCD Teacher Name picker on a student is one: it offers active teachers only, so there is nothing there to label.

When You Never See the List at All

If your access covers exactly one teacher, TKG Analytics skips the list and takes you straight to that teacher. This is the normal experience for a Teacher User: they open Teachers and land on their own record.

This is why the Inactive Teachers toggle only starts to matter once a Teacher User has been given access to a second teacher. Until then there is no list to toggle. Once a District Admin grants them additional teacher access, the Teachers page opens as a list and the toggle is there.

Who Can Use the Toggle

Inactive Teachers is available to:

  • District Admins and District Users
  • School Users, for the teachers at their assigned schools
  • Teacher Users who have been granted access to more than one teacher

Unlike the Inactive Schools button, this entry does not wait until you have an inactive teacher to show. It is in the menu whenever you can use it, and the list is simply empty if your district has no inactive teachers.
